AI Automation ROI Calculator
How much does manual, repetitive work actually cost your business each year? Move the three sliders (or type exact numbers) and this calculator estimates your potential annual savings from automating data entry, copy-paste work, and routine processing — plus the hours your team gets back.
How the calculation works
The math is deliberately simple and transparent: team size × manual hours per week × 52 weeks × hourly cost × automatable share. A 15-person team each losing 12 hours a week to copy-paste work at $45/hour is spending roughly $421,000 a year on that work; at a realistic 70% automation share, about $295,000 of it is recoverable — before counting fewer errors, faster response times, and work simply getting done outside office hours.
What counts as "automatable"?
In our enterprise work, the most reliably automatable tasks are: moving records between systems (CRM, spreadsheets, billing), reformatting and enriching data, generating routine documents and first-draft replies, reconciling transactions, and routing/ticket triage. Judgment-heavy work — negotiation, final approvals, sensitive customer conversations — should stay human, with AI preparing the groundwork. Our guide to AI tools for small businesses covers the no-code side of this, while larger teams usually need the orchestration approach described in our technical guides.
Reading your result honestly
Treat the output as an upper-bound estimate, not a promise. Real savings depend on data quality, process design, and adoption. A good next step is to pick the single most repetitive process, time it for one week, and pilot automation there — then compare. See our Terms for how estimates on this site should be interpreted.
Frequently asked questions
Is this calculator free?
Yes — free, no sign-up, and your inputs never leave your browser; the calculation runs entirely on this page.
Why 52 weeks?
It annualizes your weekly figures. If your team works fewer operational weeks, scale the result proportionally (for example, ×50/52).
What automation percentage should I use?
For data-entry-heavy teams, 60–80% is a realistic planning range. Start at 70% and test a pilot before committing budget.
